Spring 2013 Registration & Apparel

Dear All -   Happy New Year from the STMHA Registrar!  

REGISTRAR EMAIL ACCOUNT SETUP:  We have set up a new email account specifically for registrar related items.  All other matters please continue to use the stmha@hotmail.com account.

NEW REGISTRATION & UNIFORM PROCESS/FORMS:  As you have seen from recent emails, we have started efforts to register every player with the Shanghai Sports Bureau.  In doing so, we realized a couple of things: the immediate submission deadline of January 13th and the registration information requirements from each of players above and beyond what we usually collect.  Hence the urgent emails to collect as much information on players the past couple of days.  

To improve this process in the future, I have revised the registration & uniform process to incorporate new requirements.  While we cannot predict all the information to be request by tournament organizers and the Shanghai Sports Bureau, I hope the new form & process will help minimize the urgent requests for information.  Please note the following action items in preparation for this weekend:

  1. New Registration Form Due for Every Player:  I have revised the registration application form to incorporate our new requirements.  A new registration form must be completed for every player submitted with an original signature .  I will accept electronic versions sent to me as well as long as it is a scanned copy with the original signature.                                                                               Here are the major form changes for those that completed one in the fall:
    • Clarity of parent contact information by parent name and any past volunteer experience
    • Full player personal information that we need for registration with the Shanghai Sports Bureau and tournament organizers (like weight and height)
    • Immediate selection of jersey number choices so that I can contact those players to make immediate arrangements for sizing, payment, and ordering due to the long production lead times.  Please see the attached schedule below for available jersey numbers.
    • Liability Waiver and Emergency Medical Care and Release of Information Consent:  In the event of an emergency and the parent/legal guardian is unavailable, the STMHA Registrar needs to have a copy of the child's passport and insurance card on file along with the attached medical care consent form.  Every effort will be made to contact you and we hope we are never in this position however, we want to be prepared in the event something happens.
    • Medical History Information Updated:  to obtain better information and clarity on a player's medical history.  Not everyone completed in the first session.  Please take the time to give us the most accurate history information for our coaches and medical staff in the event of an emergency.  Please be sure to include any medications taken.
  2. Copies of passport, insurance card, and residence permit
  3. Collection of Uniform Fees with application if new to the association or a replacement order is needed.  House League Jersey Set is 800 rmb, if necessary, due with the application
  4. Spring House League Deposit is due: As a result of ice time losses in the fall session we are currently running a budget surplus.  The STMHA Executive Committee is aware of league interest/concern regarding how the surplus is to be deployed in the future.  A league-wide communication regarding Executive Committee intent as well as clarification of STMHA ice allocation principals and fee structure development is forthcoming.  In the meantime, we will be collecting a deposit of 2,500 rmb per player due this weekend for the coming spring session.  If you are unable to attend either Saturday or Sunday, please let me know so that other arrangements can be made for collecting your deposit this coming week.  
Team managers (Marie, Magnus and Corina) will be collecting forms, uniform money and house league deposits this Saturday and Sunday in Songjiang.  Gr3 manager, Emily, and I will be collecting forms and house league deposits in Bailian.

THUNDERBIRD SPIRIT WEAR UPDATE:  For those that placed orders before the holiday for sweatshirts, tracksuits, etc, please advised of the revised timing due to the size of the large embroidery on the sweatshirts and complexity of our tracksuits

JERSEYS ALREADY ORDERED:  Due to the holiday, I had them hold the shipment until we returned so that it didn't sit in customs for safety purposes.  I am expecting it shorTly.  Just waiting for customs to contact me to clear.  I will keep you posted.

EXTRA HOCKEYS SOCKS AVAILABLE NOW:  I currently have a selection of 12 black or white hockey socks that are available for purchase.  They are 120 rmb per pair.  Please let me know if you need any replacement socks.

Update for 2013 Spring Session

Thunderbird Players and Parents,

As we close out our Fall STMHA session, we have been looking forward and planning our spring session.  There are several important dates that we would like to make you aware of to allow you to better plan your life around STMHA hockey.

Important dates for the STMHA spring session

·         January 12/13 – Open Skate for all groups

·         January 19/20 – U10, U12, U14 Select try-outs, all players are welcomed and encouraged to try-out

·         February 9/10 – No ice for Chinese New Year

·         February 16/17 – No ice for Chinese New Year

·         April 6/7 – House League Play-offs begin

·         April 20/21 – Final STMHA Sessions

For our players and families interested in participating in our Select program we remind you that the time and financial commitment is greater than that of the House League, and participation in the House League and all STMHA identified events are required once you are a part of a team.  To assist you in your decision to participate in our Select program you should be aware of the following points.

Important dates for the STMHA Select Program

·         February 2/4 – Possible third event is participation in a tournament in Xiamen

·         February 27-March 3 confirmed participation in a tournament in Singapore (we would try and play toward the back half of the week)

·         April 19th – April 21 U14 team only – participation in a tournament in Helsinki, Finland

·         April 30th – May 5th - confirmed participation in a tournament in Hong Kong (we would try and play toward the back half of the week)

Additional communications with be coming out shortly regarding ice time allocation, fee structure and spring registration.

2012 Fall Session

Dear Members,

Yes it’s that time of year again!  For some of us it seems only yesterday we were trying to thaw out from Nanjing but for others it’s been a long time to be away from hockey. 

The 2012-2013 Seasons promise to be an exciting and challenging year for all of us.  We have new players, new coaches and if we are lucky perhaps a new facility to call home.  You executive members have been hard at work during the off-season making plans and establishing valuable connections to ensure that we have ice time, staff and equipment sufficient to run our program.
